For: admins using the Xero payroll integration
Site tracking labels every hour exported from freshOps to Xero with the site where the work was done, so you can see the profit on each site in Xero.
Why it's needed
Xero doesn't have sites. It has contacts, which are the businesses you bill, and one client can have many sites. A tracking category gives Xero a way to tell your sites apart.
How it's set up
In Xero, create a tracking category. We usually call it Sites.
Add an option for each site. Either add them in Xero one by one, or export your sites from freshOps into Xero in one go.
In freshOps, go to Payroll → Sites and match each freshOps site to its Xero option. Drag a site onto its option, or use Auto-Pair to match them by name.
What you get
A profit and loss for each site. When you invoice a client in Xero, choose the site's tracking option on the invoice. freshOps puts the same tracking option on the labour it exports, so your wages land on the same site in cost of sales or your wages expense line. Run Xero's Profit and Loss by tracking category to see the gross profit on each site monthly, quarterly or yearly.
Clearer draft timesheets. Every block of exported time becomes its own line in Xero's draft timesheet. Each line shows the pay rule and pay item being applied, plus the site the work was done at, so you can check payroll before you approve it.
Tip: the site profit and loss is only as good as your invoicing. If invoices go out without the site's tracking option, the revenue side of the report will be empty.
